Contract Specialist



Job Overview: 

As a Contract Specialist, you will be responsible for managing the contract lifecycle, from initial review and analysis to final contract execution. You will collaborate closely with internal stakeholders, legal teams, and clients to ensure contract terms are clear, favorable, and aligned with the company’s objectives. The ideal candidate will have a strong understanding of legal principles, exceptional communication skills, and a meticulous attention to detail.

Responsibilities:

Contract Review and Analysis:

  • Review and analyze contracts, including but not limited to client agreements, vendor contracts, and partnership agreements.
  • Identify and highlight key terms, conditions, and potential risks or issues for review and resolution.
  • Ensure compliance with applicable laws, regulations, and company policies.

Contract Drafting and Negotiation:

  • Prepare, draft, and revise contracts, amendments, and other legal documents.
  • Collaborate with internal teams, legal counsel, and external parties to negotiate and finalize contract terms and conditions.
  • Offer recommendations for contract improvements, risk mitigation, and enhanced contractual language.

Contract Management and Administration:

  • Maintain a centralized contract repository and ensure all contracts are properly documented, organized, and easily accessible.
  • Monitor contract expirations, renewals, and milestones, providing timely notifications to stakeholders.
  • Track and manage contract changes, ensuring proper documentation and communication of amendments.

Proposal and RFP Support:

  • Assist in the preparation, review, and coordination of responses to Requests for Proposals (RFPs), Requests for Quotes (RFQs), and other client inquiries.
  • Collaborate with cross-functional teams to gather information, create proposal templates, and ensure compliance with client requirements.
  • Ensure timely submission of proposals, adhering to strict deadlines.

Relationship Building and Collaboration:

  • Liaise and collaborate with internal stakeholders, including legal, sales, finance, and operations teams, to gather necessary information and ensure contractual alignment.
  • Develop and maintain positive working relationships with clients, vendors, and other external parties.

Continuous Improvement:

  • Stay updated on industry trends, legal developments, and best practices related to contract management.
  • Suggest and implement process improvements, tools, or technologies to enhance contract management efficiency and effectiveness.

Qualifications and Requirements:

  • Bachelor’s degree in Law, Business Administration, or a related field. 
  • Proven experience as a Contract Specialist or in a similar role, with a strong understanding of contract management principles and legal terminology.
  • Familiarity with contract laws, regulations, and best practices.
  • Exceptional attention to detail and strong analytical skills.
  • Excellent written and verbal communication skills, with the ability to negotiate and influence effectively.
  • Proficiency in contract management software and Microsoft Office Suite.
  • Ability to work independently, prioriuntize tasks, and meet deadlines in a fast-paced environment.
  • Strong organizational and problem-solving abilities.
